The NYX Design Awards is organised by International Awards Associate Inc. (IAA). IAA determines why and how personal information is processed for the NYX Design Awards.

Depending on how you interact with the NYX Design Awards, we may collect:

• account and contact information, including name, email address, telephone number, address, country or region, organisation, professional title and login information;
• entry information, including project titles, descriptions, categories, dates, credits, client information, images, documents, audio, video, links and confidential jury materials;
• designer, nominee and team information, including biographies, portfolios, achievements, employment or education details and supporting materials;
• jury information, including professional background, appointment records, declarations, assignments, scores and comments;
• winner and editorial information, including recognition details, profiles, interviews, quotations, photographs, recordings and publication preferences;
• payment and transaction information, including billing details, order records, currency, payment status and limited payment-provider references;
• communications, including enquiries, support requests, complaints, survey responses and marketing preferences; and
• technical and usage information, including IP address, browser, device, operating system, pages viewed, referral source, interaction data and security records.

Complete payment-card information is processed by authorised payment providers and is not intended to be stored directly by the NYX Design Awards.

Information may be collected directly from you, from an authorised representative, employer, client, team member or nominator, automatically through the website and permitted cookies, from payment and service providers, or from professional and public sources used to verify a nominee, juror, participant or published professional claim.

We may use personal information to:

• create and manage accounts;
• process payments, entries, applications and nominations;
• verify eligibility, identity, authority, authorship, claims and supporting evidence;
• administer judging, manage conflicts of interest and communicate with jurors;
• publish and promote recognised work, designers and teams;
• deliver certificates, badges, winner benefits, orders and editorial services;
• respond to enquiries, complaints and support requests;
• maintain website, security, fraud-prevention and payment records;
• analyse and improve the website, entry system and user experience;
• send administrative communications and, where permitted, marketing communications; and
• meet legal, regulatory, accounting and dispute-resolution requirements.

Depending on the information, purpose and applicable law, processing may be necessary to perform a contract or take steps requested before entering a contract, pursue legitimate interests in operating and improving the competition, comply with legal obligations, protect legal rights, or act on consent where consent is required. Where processing relies on consent, consent may be withdrawn without affecting earlier lawful processing.

A person who provides information about a client, designer, contributor, employee, nominee, juror, team member, participant, photographer, videographer, model, user, minor or other individual must have a lawful basis and the necessary authority to do so. Sensitive or confidential personal information should not be submitted unless it is necessary, authorised and requested.

Submission information and supporting materials may be provided to appointed jurors, reviewers and authorised administrators for evaluation and verification. Jurors are expected to protect confidential information and use it only for authorised purposes.

Project Excellence entries may be handled on a blind basis where practicable. Designer Honours and Design Team Honours necessarily involve the identity of the individual or team being evaluated. Confidential jury briefs and jury-only materials are not intended for public publication.

Where a submission receives recognition, we may publish the entrant or recipient name, organisation, country or region, project title, category, recognition level, selected images or media, credits, winner profile and other relevant information supplied for publication.

Where an available private-entry option has been selected and approved, publication may be limited to the information permitted through the entry system. Published winner records may remain in permanent award archives as part of the historical record of the competition.

Recognised recipients may submit interviews, biographies, photographs, recordings and other editorial materials for consideration on Muse.World and related IAA channels. Submission does not guarantee publication. Approved editorial materials may be promoted through websites, newsletters, social media, public relations and other official channels.

Where permitted by law, we may send competition announcements, deadline reminders, winner news, newsletters and information about relevant IAA programmes. Marketing consent is not a condition of entering or purchasing. You may unsubscribe through the link in a marketing email or contact us directly. Necessary account, payment, entry, judging, security, order or winner-service communications may still be sent.

We may share information with authorised employees and representatives, jurors and reviewers, hosting and security providers, payment processors, email and communications providers, analytics providers, customer-support providers, printing and fulfilment providers, shipping partners, professional advisers, auditors, insurers and legal representatives where reasonably necessary.

Information may also be disclosed where required by law, to protect rights or safety, to investigate fraud or misuse, or in connection with a merger, reorganisation, acquisition or transfer of operations. Service providers may use personal information only for the authorised function and remain subject to applicable contractual and legal obligations.

IAA operates internationally. Personal information may be processed in Malaysia, the United States and other countries in which IAA, jurors, service providers or reviewers operate. Where required, appropriate contractual clauses, transfer mechanisms or other safeguards are used for international transfers.

Personal information is retained only for as long as reasonably necessary for the purpose for which it was collected, including active participation, account management, judging, winner verification, payment and accounting records, customer support, legal obligations, dispute resolution, fraud prevention and historical award archives.

Retention periods vary according to the record and applicable requirements. Information may be deleted, anonymised or securely archived when it is no longer required.

IAA maintains reasonable administrative, technical and organisational measures intended to protect personal information against unauthorised access, loss, misuse, alteration or disclosure. No internet transmission or storage system can guarantee absolute security.

Depending on your location and applicable law, you may have rights to request access, correction, deletion, restriction, portability or objection; withdraw consent; manage marketing preferences; and complain to an appropriate data-protection authority. Identity or authority may need to be verified before a request is completed.

A request may be limited where information must be retained for legal obligations, payment records, dispute resolution, fraud prevention, freedom of expression, public award archives or another lawful purpose.

The website and entry system are not directed to individuals under 18. Where information about a minor is submitted as part of an eligible entry, the entrant must have the authority and permissions required by applicable law. If personal information about a child has been collected without appropriate authority, please contact us so it can be reviewed.

This Privacy Policy may be updated to reflect changes in law, technology, services or programme operations. The revised version will be published with an updated effective date. Material changes will be communicated where reasonably appropriate.
